Below you may find information and guidelines concerning oral and poster presentations. Please read through to ensure you come prepared to the conference.

INFORMATION FOR ORAL PRESENTATIONS

  • All lecture rooms have PowerPoint facilities. Please save your presentation in Office 2003 / 2007 / 2010 format with the following filename PRESENTER_DATE_TIME_first four words of TITLE. Use the date and time format as in this example: Smith_Sept2_0900_title first four words.ppt (or pptx).
  • You may send your presentation by e-mail until Monday, August 31st to presentations@easyconferences.eu indicating in the email main message body the words ORAL PRESENTATION in capital letters, or come in to the media check-in station at the Grand Resort Hotel no later than 2 hours before your scheduled presentation. If you are presenting in the first morning session (before 11:00), you must hand it in at the media check-in station on the previous day or e-mail it by the above date.
  • Please check the programme to see whether your presentation is a regular oral presentation (a 15-minute talk in a 20-minute time slot) or a short oral presentation (an 8-minute talk in a 10-minute time slot).
  • We recommend that you have copies of a handout with your details and a summary of your presentation to give to interested delegates after your talk.
  • We recommend that you bring back-up copies of your presentation on a USB stick.
  • All presenting authors must register for the conference. Please pick up your registration pack from the conference registration desk at the Grand Resort Hotel on arrival to the conference venue.
  • Make a note of the lecture room (and time) where you will presenting. Please note that your presentation may be either at the Grand Resort Hotel or at the Elias Beach Hotel.
  • All those giving oral presentations are encouraged to familiarise themselves with the lecture hall in which they are presenting in advance of their session and to arrive at the hall at least five minutes before the beginning of the session.
  • Introduce yourself to the session chair upon arrival at the presentation room.
  • Short oral presentations should be no longer than 8 minutes, followed by one minute for questions and one minute for change of presenters. At the end of the session, there will be a few more minutes for questions or a general discussion. Please note that the chairs have been instructed to be very strict with the time, particularly in the short oral sessions, to ensure that all 8 or 9 presenters (depending on the session) have time to present. We recommend that you time yourself very carefully at home to make sure that the presentation takes no more than 7-8 minutes.
  • Regular oral presentations should be 15 minutes, followed by 4 minutes for questions/discussion and one minute for presenter change over. Please do not go over your allocated time. The session chairs have been instructed to be strict in adhering to this timetable.
  • The session chair will use ‘5 minutes left,’ ‘2 minutes left,’ ‘1 minute left’ and ‘Stop now’ cards to help the presenters keep to time.
  • Please take any presentation materials away with you; anything left at the end of the conference will be discarded.

INFORMATION FOR POSTER PRESENTERS

General information

  • All presenters must be registered to the conference. Please pick up your registration pack from the conference registration desk at the Grand Resort Hotel on arrival to the conference venue.
  • Poster sessions are interactive: Each presenter is expected to briefly present their research in 3-4 This is an informal presentation and usually there is an audience comprised of the presenters in the same session (4-7 people) and additional attendants who are interested in the topic. Following this short presentation, the session chair will allow for questions and a short discussion.
  • The poster and the presentation should focus on the following elements: (a) background – why? (b) Methods – how? (c) Results – what? (d) Conclusions – so what?
  • Use diagrams, tables, charts, or figures if that is appropriate.
  • The font size of the title should be at least 80 points, bold face.
  • The font size of the section headers should be at least 32 points, bold face.
  • The font size of the body of the poster (abstract, introduction, objectives, methods, results and conclusions) should be between 18 and 26 points.
  • The key to a good poster is not to include too much text. Short sentences and paragraphs, or even bullets, along with visual aids to present the findings (such as graphs), make the poster more attractive and easier to follow.
  • Make sure your title, authors and affiliated institution/s are clearly visible at the top of your presentation; it is common to include your institution logo on the left corner of the poster.
  • We recommend that you have copies of a handout with your details and, if possible, an expanded version of your presentation to give to interested delegates.

Poster dimensions

  • The poster format is portrait with dimensions of max. 90 cm wide and 120 cm high
  • We recommend a size of 85 cm wide and 120 cm high (DIN A0 size)
  • You do not need to print your poster number on the poster

On location details

  • All posters must be brought in printed form, please note that printing facilities will not be available at the conference site.
  • Poster boards will showcase on them the poster number that is noted in the conference programme.
  • Please put up your posters at the beginning of the day on which your poster session is scheduled. You must take your poster down at the end of the day. Posters remaining after the end of the conference will be removed and recycled.
  • Please be present near your poster during your respective poster session.
  • Each poster session will be facilitated by a chairperson who will encourage each presenter to provide a brief statement about the main findings (3-4 minutes) and moderate the discussion.

Poster sessions will be held in the Grand Resort – Salaminia Hall. You will find your poster number in the scientific programme section of the Conference Handbook and on the respective poster boards.

Please put up your posters in the morning of the day on which your poster session is scheduled. Please be present near your poster during your respective poster session. A chairperson will facilitate each poster session, allowing each presenter 3-4 minutes for a brief presentation of their poster, and moderating the discussion. You must take your poster down at the end of the day. Posters not taken down at the end of the day will be recycled.
